Showings Page

The different showings page i.e., Agent Showings, Self-Tours, and Completed Showings shows the list of showings scheduled (happened) within the date range provided in the date filters.

Filters:

  1. Records can be filtered on the basis of a date range which can be selected from the Start Date and End Date. By default, the report is shown for a period of one month starting from the current date to one month in future.
  2. The Search by Property Address text box is a free-flow field where you can type in a property address. It will filter the records based on the provided value. You are not required to provide the complete value. You can even provide a part of the value, and it will filter out the records accordingly.
  3. The Filter by Agent drop-down can be used to select if you want to see the showings for a particular agent. This drop-down only has active property agents. If you do not select any agent from the drop-down, then the report is displayed for all the agents which are active. This filter is available only on the Agent Showings page.

Sort by Status: By default, the records are shown in ascending order of the showing status and descending order of the date when the showing was scheduled (happened). You can sort the records on the basis of the Status of the Showing. This sort of option is not available on the Completed Showings page.

The data is presented in Tabular Representation. There are different columns shown on the respective page representing the data as mentioned by the column header label. Please find below the description of every data column displayed on the page:

Prospect Name: This column displays the full name of the prospect.

Prospect Email Address & Phone Number: This column displays the email address and phone/contact number of the prospect.

Showing Date & Time: This column displays the date and time when the showing happened.

Agent: This column displays the name of the agent who was assigned to the showing. This column is only available for the Agent Showings page.

Status: This column displays the status of the showing. This column is available for the Agent Showings, and Self-Tour page.

Showing Details: This column displays the showing Type and the agent name. This column is available only for the Completed Showings page.

Screening Details: This column displays an option called ‘View’ to review the answers, in a modal pop-up, given by the prospect to Screening Question(s) set up for the showing.

Notes: This column displays an option called ‘View or Attach’ to view or add notes corresponding to the showing for the prospect. On clicking this, the user will be able to provide notes in a modal pop-up and by pressing the Submit button the notes can be saved. This column is available for the Agent Showings and Completed Showings page.

No-show: A prospect can be marked as a no-show by the agent if it did not appear for the agent showing. A prospect is automatically marked as a no-show for a self-tour if they did not request the lockbox code by sending the serial number of the lockbox.

A column with the property address is also shown. The property address can be clicked like a hyperlink, which will take the user to the Manage Property Details page.

A column to view the Feedback (in a modal pop-up) of the property showing is provided on the Completed Showings page.

You can Export the data shown in the tabular format to a CSV file by pressing the Export button provided at the top of the page.

You can also Print the agent showings data by pressing the Print button provided at the top of the page.

Please note that the data shown on the Showings page might not match the data shown on Property Report, Prospect Report, and Manage Prospects page. It is because all these displays data on the basis of different date values. We have created separate articles for all these pages. Please refer to those articles for more details.
