"Agent Showing": How to create a mini calendar?

This feature allows you to customize your calendar by creating agent showings on dates and times that work for you. To create an agent-showing schedule, go to Schedule > Create Mini Calendar. The following are the sections you'll need to complete to create your mini-calendar:

  1. Mini-Calendar Name: Choose a name that you can easily remember or identify with. You cannot choose a mini-calendar name that already exists on your company's page.
  2. Assigned agent: This section allows you to select the agent for whom you're creating the calendar. If you are creating a mini-calendar for your showings, go ahead and select your name.
  3. Select Properties: Browse through the various properties to select the ones to which the mini-calendar applies. Agents with administrative privileges can browse through all the properties their company manages. However, agents without administrative privileges will only see properties that they are assigned to.
  4. Select days and times: This section allows the agent to choose the dates and times when they'll be available for agent showings. This ensures that prospects schedule agent showings based on your availability and preferences. 
  5. Showing Duration: This section allows you to select the time duration for each show. The drop-down menu options range from 15 minutes to 4 hours. Showing Hero recommends 1 hour as the sweet spot for streamlining your showings while providing a valuable showing experience to your prospects.
  6. Choose calendar color: This section allows you to choose the calendar color that will be visible on the Main Calendar and snapshot, allowing you to identify your mini calendar at a glance.
  7. Drive time buffer: This setting allows you to enable additional driving time between each show. The drop-down menu provides time buffer options ranging from "No buffer time" to 45 minutes. If you select "No buffer time," prospects can schedule showings back-to-back.
  8. Disable auto-cancellation: If auto-cancellation is disabled, the showing will not be canceled one hour before the showtime, even if the prospect does not confirm their showing. Disabling auto-cancellations can result in more no-shows.
  9. Enable scheduling restrictions: This section allows the agent to determine whether scheduling will be restricted by time. This setting allows agents to choose a minimum and maximum time requirement.
  10. Min/Max hours: The minimum number of hours restricts scheduling showings before a certain number of hours. For example, if a property has a scheduling restriction minimum of 8 hours, then the prospect can only schedule a showing at least 8 hours from their current time. The maximum number of hours restricts showings past a certain number of hours from the current time. For example, if the agent selects a maximum restriction of 168 hours, it means that no showtimes that are past 168 hours from the current time will be displayed on the property page.
  11. Enable virtual showings: This new feature allows agents who cannot make it to the house for an in-person viewing to schedule an agent-led video chat tour. Virtual showings are often conducted via FaceTime, Google Duo, Zoom, Skype, or WhatsApp.
  12. Virtual showing options: This section allows the agent to select a virtual showing option. They can choose between Google Duo, FaceTime, Skype, Zoom, or WhatsApp.
  13. Zoom meeting link: If you choose to conduct virtual showings via Zoom, you can provide the Zoom link here.
  14. Enable group showings: This section allows you to choose whether multiple prospects can attend the showing at the same time. This section is disabled if the agent enables a virtual showing.
  15. Deactivate: This section allows to deactivation of the calendar now or on a date in the future date whereby no new showings can be scheduled for this mini calendar after that date. Note: Mini calendars automatically only allow prospects to see up to 30 days in the future.
